Docs Importing orders

Import orders from a spreadsheet (CSV)

Updated View as Markdown

CSV import moves orders from a spreadsheet into BuyingGroupPro. Most members use it once, to bring in the order history they kept in Google Sheets or Excel, and then let email sync and the Chrome extension add new orders. CSV import is free on every plan.

Get the template

Download the order template (you must be signed in). It lists every column and the allowed values. You do not have to use it: BuyingGroupPro also reads your own column names, and it matches common names such as "Order #" or "Tracking".

Columns

Column What to put in it
order_number The retailer's order number. Orders are matched on this, so a second upload updates instead of duplicating.
date The order date, as YYYY-MM-DD.
status Ordered, Reserved, Shipped, Delivered, Processed, Paid, Returned, Cancelled, Payment Error, Deadline or Set Aside.
tracking_number One or more carrier tracking numbers.
ship_to The shipping address.
product The item name.
quantity Units in the order.
merchant The store, for example Amazon or Best Buy.
buying_group The group you ship to. Short names such as "D&R" or "B4P" are recognized; you confirm the guess.
account The retailer account that placed the order.
card The credit card used.
cost What you paid, as on the receipt.
shipping_cost, insurance_cost Extra costs, if any.
reimbursed What the buying group paid you.
cash_back Cashback as a percent, for example 2 for 2%.
cash_back_amount Cashback in dollars, if you track it that way.
gift_card_amount, gift_card_savings The gift card value spent, and what you saved buying the gift card below face value.
paid TRUE or FALSE.
notes Anything else.
serial_number The item serial number.

A merchant, buying group, account or card that does not exist yet is created for you.

Limits

  • .csv files only, up to 10 MB.
  • Up to 1,500 rows in one file. Split a larger history into several files.

The review step

Before anything is saved, BuyingGroupPro shows every row in one of these groups:

  • Create: a new order.
  • Update: an order you already have; the changed fields are shown.
  • Review: a row that needs a look, such as a possible duplicate, a tracking number that a spreadsheet damaged (for example turned into 1.23E+15), or a cashback value that looks like dollars in the percent column.
  • Error: a row that cannot be read.
  • Unchanged: an order that is already the same.

Fix what you need to, then commit the import. CSV rows go straight to your orders; they do not pass through the review queue.

Export

Exporting orders to CSV is a Pro feature. See plans and the free trial.
